Guide: Creating and Deploying Video Shortcuts in Android Kiosk Mode

Hexnode UEM allows administrators to create shortcuts for video files on Android devices. These shortcuts enable users in Kiosk mode to access specific media via the Hexnode Media Player or an allowlisted third-party player.

Prerequisites & Specifications

  • Supported Formats: MP4, Matroska (MKV).
  • Supported OS: Android 5.0+ (Excluding Amazon Fire OS).
  • File Management: If the video is not already on the target device, it must be uploaded via Content > My Files and pushed to the device before creating the shortcut.
  • App Updates: Ensure Hexnode apps are updated to the latest version on all enrolled devices.

Create Video File Shortcut

  1. Log in to the Hexnode UEM portal.
  2. Navigate to Content > Kiosk File Shortcuts > Media.
  3. Click Add a File and configure the following:
    • File Type: Select Video.
    • Display Name: Enter the name visible to the user on the device.
    • Choose File Source:
      • Upload File: Direct upload from your computer.
      • Hexnode Repository: Select a file already in Content > My Files.
      • Device Storage: Provide the local path (e.g., /storage/emulated/0/Download/filename.mp4).
    • File Icon: Upload a custom image for the shortcut.
    • Open With: Select the playback app. Hexnode Media Player is the default.
  4. Click Create.

Note:

If using a third-party player, it must be added as a Background App in the Kiosk policy and granted storage permissions. For devices enrolled as Device Owners (Android Enterprise), the player must be a Managed Google Play app with app permissions pushed via the Hexnode UEM portal.

Add Video Shortcuts to Android Kiosk

You can deploy these shortcuts in either Single App or Multi App Kiosk mode.

Single App Kiosk Mode

  1. Go to Policies > Select or create a policy.
  2. Navigate to Kiosk Lockdown > Android Kiosk Lockdown > Single App.
  3. Click Configure > Click the + button > Select File Shortcut.
  4. Choose your video shortcut and click Done.

Multi App Kiosk Mode

  1. Go to Policies > Select or create a policy.
  2. Navigate to Kiosk Lockdown > Android Kiosk Lockdown > Multi App.
  3. Click Configure > Click the + button > Select File Shortcut.
  4. Choose your video shortcut and click Done. (Add any other required apps to the list).


Configure Launcher & Auto-Launch Settings

  • Single App Kiosk: By default, the video launches at 0 seconds. To change this, go to Kiosk Lockdown > Android Kiosk Lockdown > Launcher > Auto-launch and adjust the App auto-launch delay.
  • Multi App Kiosk: By default, auto-launch is 30 seconds. Configure this under Kiosk Lockdown > Android Kiosk Lockdown >Launcher > Auto-launch by adding the media as a file shortcut and setting the desired delay.

Associate Policies with Targets

  • For New Policies: Go to Policy Targets > +Add Devices > Select targets > Save.
  • For Existing Policies: Go to Policies > Select the policy checkbox > Manage > Associate Targets > Select devices > Associate.

Apart from devices, you can also associate the policies with device groups, user and user groups.

Android 11+ Permissions & Storage Access:

Specific requirements apply to devices running Android 11 or higher to ensure file shortcuts function correctly:

  • Required Permission: The ‘Manage All Files’ permission is mandatory for the Hexnode UEM app to access device storage.
  • Error Message: If storage permission is not granted, users will see: “The storage access provided is insufficient to perform this action” when attempting to open shortcuts.
  • Kiosk Activation: If a policy includes a screensaver or digital signage and “All Files Access” is denied, kiosk activation will fail. To resolve, grant permission when the ‘Kiosk Activation Failed’ prompt appears on the device.
  • App Updates: Permission may be revoked when the Hexnode UEM/Work app updates. Users must grant the permission again via the app prompt to maintain file management functionality.
  • Manual Grant: Alternatively, navigate to the device Settings page to manually grant ‘All Files Access’ to the Hexnode UEM app.
