Configure printing settings on ChromeOS devices from Hexnode UEM
This document will help IT administrators configure printing settings on ChromeOS devices.
Even with the rise of digital technologies, printers remain essential in many organizations. Printers play an important role in producing contracts, invoices, reports, brochures, flyers, posters, and business cards. Many organizations still rely on hard copies of documents for compliance and record-keeping purposes.
ChromeOS, with its lightweight and flexible design, is widely used for daily tasks across organizations. With Hexnode UEM, administrators can configure settings for printers compatible with ChromeOS devices. These settings include selecting a default printer, restricting color printing, setting printing limits, requiring a PIN for added print security, and much more.
Printing settings available for ChromeOS devices
To configure printing settings on your enrolled ChromeOS devices,
- Log in to the Hexnode UEM portal.
- Go to Policies > New Policy. Assign a suitable name and description (optional) for the policy. You can also choose to continue with an already existing policy.
- Navigate to ChromeOS > Configurations > Printing and click Configure.
The following settings are available to configure,
Setting | Description | Supported OS Versions |
---|---|---|
Enable Printing | When this setting is disabled, users will be blocked from accessing the Print… option that appears when clicking the three-dot menu in the top-right corner of Google Chrome. Thus, printing through Chrome will be disabled entirely. | ChromeOS 11+ |
Specify the Default Printer | When enabled, this setting allows administrators to configure and enforce default printer preferences for ChromeOS devices. | ChromeOS 48+ |
Default Printer Types
(Available only when Specify the Default Printer is checked) |
Choose which types of printers are eligible to be set as default. The available options are:
|
ChromeOS 48+ |
Printer Matching Rules
(Available only when Specify the Default Printer is checked) |
Choose the method ChromeOS should use to select a printer as the default one. Available options:
|
ChromeOS 48+ |
Default Printer Pattern
(Available only when Specify the Default Printer is checked) |
Enter a regular expression to match printer names. The first printer that matches the pattern will be selected as the default in the print preview.
For example: For a printer named “Itletters Lobby”, use the pattern “Itletters Lobby“. |
ChromeOS 48+ |
Print Preview | When this setting is enabled, the system opens print jobs in the system print dialog instead of the default ChromeOS print preview. | ChromeOS 18+ |
Show Headers and Footers in Print Preview | This setting controls whether headers (e.g., document title) and footers (e.g., page numbers, URL) are displayed in the print preview and included in the final printed output. Available options:
|
ChromeOS 70+ |
Print Job History Expiry (Days) | Defines how many days the device retains local print job history. Once this period passes, history is automatically deleted. | ChromeOS 79+ |
Allow Print Job History to be Deleted | When enabled, users can manually delete their print job history from ChromeOS settings. If disabled, the history remains until it expires. | ChromeOS 85+ |
Print PDF as Image | When enabled, the document or file that has to be printed will be treated as a bitmap image rather than as individual text and graphic elements. This option forces ChromeOS to rasterize PDF files before printing. It helps avoid font and rendering issues with complex PDFs. | ChromeOS 94+ |
Use System Printer as Default for Print Preview | When checked, Chrome uses the system default printer automatically in the print preview dialog. | ChromeOS 61+ |
Allowed Print Color Modes | Restricts which color modes are available in the print dialog. Options include:

Associating the policy to Organizational Units (OUs)
Policies cannot be directly associated with ChromeOS devices; they can only be applied through Organizational Units (OUs). To associate a policy with ChromeOS devices,
- Navigate to Policy Targets > Domains/OUs.
- Click on +Add Domain/OUs. From the list, select the Google Workspace account integrated with Hexnode, indicated by the (Google) tag.
- The parent OU will be listed here and is indicated with a briefcase icon to differentiate it from domains.
- Click the dropdown next to the parent OU to view its child OUs. Select the required Organizational Units to which the target devices are assigned and click OK.
- Note that a policy assigned to a parent OU will automatically apply to all its child OUs. Associate the policies to the OUs to which the target devices are assigned.
- Click Save to associate the policy to the devices under the selected Organization Units.
