Renew Apple VPP token in Hexnode after the original Apple ID user leavesSolved

Our Apple Business VPP token in Hexnode shows as expired/revoked. The technician who originally set it up is no longer with us.

Can another technician renew the token using a different Apple ID, or does it have to be the same Apple ID that created the original token? The new technician has the Administrator role in Apple Business.

Yes @jaxon_r, a different technician can renew the Apple VPP token as long as the Apple ID has the required role in Apple Business. An Apple Business user with the Administrator role can download the Apps and Books content token and upload it to Hexnode for renewal.

To renew the VPP token:

  1. Sign in to Apple Business/School.
  2. Open the organization menu and go to Settings.
  3. Navigate to Payments & Billing > Apps and Books.
  4. Scroll to Content Tokens.
  5. Download the required content token.
  6. In the Hexnode UEM portal, go to Admin > Apple Business/School > Apple VPP.
  7. Open the VPP account that matches the Apple VPP user/location you want to renew.
  8. Upload the downloaded token file using the Renew VPP Token file option.
  9. Save the changes.

This renews the existing token in Hexnode and updates its expiration date without requiring the original technician’s Apple ID.

When uploading the new token, should the Reclaim Licenses checkbox be selected? I’m only trying to renew the expired token, not move anything from another MDM.

For a standard renewal in the same Hexnode portal, leave Reclaim Licenses unchecked.

That option is mainly used when migrating VPP licenses from another MDM provider into Hexnode. Selecting it tells Apple to reclaim app licenses that may be associated with a different management system.

If you are renewing the same Apps and Books location already configured in Hexnode, leaving it unchecked is the safer approach. It refreshes the token without disrupting current app license assignments or deployments.

After saving, the token status changed to pending sync. Is that expected?

Yes, pending sync can appear briefly after the renewed token is uploaded. Hexnode needs to sync with Apple Business Manager before the updated token status and app/license details are fully reflected.

Once the sync completes, the token should show as renewed. Existing app deployments should continue as long as the correct content token was renewed and Reclaim Licenses was not selected unnecessarily.
