Putting on a global tech user conference for the very first time sounds like a d<\/span>emanding\u00a0<\/span>endeavour<\/span>\u00a0in itself. When the said conference becomes virtual due to a<\/span>\u00a0global<\/span>\u00a0pandemic, the stakes are raised even higher.<\/span>\u00a0<\/span>\u00a0<\/span><\/p>\n

There is nothing as effective as being face-to-face<\/span>. S<\/span>till,<\/span>\u00a0<\/span>when we finally had to go virtual, we were determined to\u00a0<\/span>never settle for anything less than making the most out of\u00a0<\/span>the\u00a0<\/span>current<\/span>\u00a0digital\u00a0<\/span>possibilities<\/span>.\u00a0<\/span>We wished to create a space for lively discussions, networking,\u00a0<\/span>common learning, information sharing and interact<\/span>ions<\/span>\u00a0with our customers and<\/span>\u00a0enterprise<\/span>\u00a0tech\u00a0<\/span>junkies<\/span>.<\/span>\u00a0<\/span>The team<\/span>, however,<\/span>\u00a0had only a vague idea on how to make th<\/span>is\u00a0<\/span>dream<\/span>\u00a0<\/span>a reality. After months of hard work,\u00a0<\/span>pass<\/span>i<\/span>on<\/span>\u00a0and sheer grit,\u00a0<\/span>Hexnode\u2019s<\/span>\u00a0First ever<\/span>\u00a0global<\/span>\u00a0User Conference HexCon20<\/span>,<\/span>\u00a0<\/span>turned out to be\u00a0<\/span>a smashing success. To make it happen despite the challenges and hiccups faced, we had a lot of help and support from our speakers, customers<\/span>, partners<\/span>\u00a0and attendees every step of the way.<\/span>\u00a0<\/span>\u00a0<\/span><\/p>\n

HexCon20\u00a0<\/span>was a<\/span>\u00a0benchmark in the<\/span>\u00a0<\/span>history of\u00a0Hexnode.\u00a0<\/span>In this blog, we\u00a0<\/span>attempt\u00a0<\/span>to give you a sneak peek into\u00a0<\/span>what exactly went behind the making of HexCon20 as you witnessed it.<\/span>\u00a0<\/span><\/p>\n

Reaching the name \u201c<\/span><\/b>HexCon<\/span><\/b>\u201d<\/span><\/b>\u00a0<\/span><\/h2>\n

Finding a suitable name is a very important step, especially when we are planning for an event that makes history. Everyone from the company was involved in the naming process, with heated debates and company-wide polls.<\/span>\u00a0This passion displayed at the\u00a0<\/span>very first stage<\/span>\u00a0set the trend for the coming months.<\/span>\u00a0<\/span><\/p>\n

And\u00a0<\/span>finally,<\/span>\u00a0we reached the name \u201cHexCon20\u201d after numerous discussions. The name does have a nice ring to it, doesn\u2019t it?<\/span>\u00a0<\/span><\/p>\n

Fun fact: It took close to a week worth of brainstorming, polls, and discussions to find the perfect name<\/span><\/span>\u00a0<\/span><\/p>\n

Planning and coordinating the event<\/span><\/b>\u00a0<\/span><\/h2>\n

When we first thought of hosting a user conference, we\u2019ve been looking\u00a0<\/span>for opportunities to connect with our user base in person<\/span>,<\/span>\u00a0b<\/span>ut due to the uncertainties around COVID\u201919, it was apparent that\u00a0<\/span>an in-person\u00a0<\/span>conference would be impossible.\u00a0<\/span>So, instead of out-right\u00a0<\/span>canceling<\/span>\u00a0or postponing the event, we opted to\u00a0<\/span>pivot to a virtual format<\/span>.<\/span>\u00a0With th<\/span>at<\/span>,<\/span>\u00a0we had to redesign some\u00a0<\/span>of the initial plans from the ground up to ensure that\u00a0<\/span>the shift is worthwhile\u00a0<\/span>and foster exceptional benefits for the attendees directly to the comfort of their home<\/span>\u00a0or office<\/span>.<\/span>\u00a0<\/span>\u00a0<\/span><\/p>\n

Being\u00a0<\/span>the\u00a0<\/span>first event ever hosted by\u00a0<\/span>Hexnode<\/span>\u00a0and that too online<\/span>,<\/span>\u00a0the team<\/span>\u00a0had no idea on what tools and services to be used<\/span>.<\/span>\u00a0<\/span>The planning phase had to go alongside our ongoing works<\/span>,<\/span>\u00a0<\/span>which\u00a0<\/span>itself was going hard due to the\u00a0<\/span>constantly<\/span>\u00a0changing circumstances brought about by the global pandemic.\u00a0<\/span><\/p>\n

Creating the same bonding feel as\u00a0<\/span>in\u00a0<\/span>in-person events was quite a difficult task.\u00a0<\/span>A<\/span>\u00a0thorough research was needed before w<\/span>e<\/span>\u00a0<\/span>decided on the streaming tools and the tech platform prior to the actual development part<\/span>.<\/span> The first<\/span>\u00a0question we had to answer was \u201cHow could we make the experience as close to an in-person event?\u201d. We asked many of our co-workers who frequented events and we found out there are many factors that many virtual events miss out on. One such factor was the invaluable networking opportunities. It\u2019s inevitable that when people from the same industry get together there is a sense of belonging and an opportunity for creating new connections. We had to provide a platform for these connections to prosper. Our weapon of choice was Discord, which would go on to be a centralized hub or the counterpart of an in-person event lobby.<\/span>\u00a0<\/span><\/p>\n

The team had to work on developing\u00a0<\/span>a structured and intriguing agenda,\u00a0<\/span>an effective customer engagement strategy<\/span>\u00a0<\/span>including\u00a0<\/span>unique\u00a0<\/span>networking\u00a0<\/span>opportun<\/span>ities and gamification\u00a0<\/span>which could bring together our community\u00a0<\/span>looking to make meaningful connections<\/span>,\u00a0<\/span>and\u00a0<\/span>quick troubleshooting plan<\/span>s<\/span>\u00a0as we discussed how to resolve any foreseen technical issues that could arise in a virtual event.<\/span>\u00a0So, it was all-hands-on-deck.<\/span>\u00a0<\/span><\/p>\n

Different teams like organizing team, media, designs and many more were put together\u00a0<\/span>for effectively planning and executing<\/span>\u00a0the<\/span>\u00a0various stages like<\/span>\u00a0<\/span>pre-planning, planning, development, and<\/span>\u00a0the<\/span>\u00a0promotion phase.<\/span>\u00a0<\/span><\/p>\n

Right from the moment we started promoting the conference through social media platforms and blogs, we cou<\/span>ld feel the excitement build among our customers<\/span>,<\/span>\u00a0and\u00a0<\/span>this was one of the driving factors\u00a0<\/span>for what exactly we have achieved now.<\/span>\u00a0<\/span><\/p>\n

Unseen challenges faced<\/span><\/b>\u00a0<\/span><\/h2>\n

In contrast to physical\/in-person events, hosting a virtual event is definitely riskier.\u00a0<\/span>We had to cross several benchmarks to drive\u00a0<\/span>success.\u00a0<\/span>Additional technical in<\/span>frastructure and technical expertise\u00a0<\/span>are<\/span>\u00a0needed to ensure that the whole event is conducted at the scheduled time without any hitch.\u00a0<\/span>\u00a0<\/span>\u00a0<\/span><\/p>\n

Murphy\u2019s Law: Anything that can go wrong will go wrong.\u00a0<\/span>The first situation arose on the very day of the conference. About 4 hours before\u00a0<\/span>HexCon<\/span>\u00a0was due to air, we received a call from our ISP. A series of events had caused the network bandwidth to drop dramatically making it close to impossible that even one of our systems would stream at full-<\/span>hd<\/span>\u00a0resolution. We were able to switch all our machines to\u00a0<\/span>Aws EC2 in just under an hour. All the tools and\u00a0<\/span>softwares<\/span>\u00a0involved had to be re-tested in a short timeframe. The problem gods weren\u2019t done with us just yet.<\/span>\u00a0<\/span><\/p>\n

On the very first keynote the streaming platform had taken a hit from the unexpected traffic. The streaming stations were switched within a\u00a0<\/span>minute<\/span>\u00a0but the traffic almost doubled in that very minute causing the lag to persist<\/span>, and it is no exaggeration to say that the\u00a0<\/span>Hexnode<\/span>\u00a0team was very worried.\u00a0<\/span>Thankfully, we were able to resolve the issues in a record amount of time with the prompt actions of our technical team<\/span>,<\/span>\u00a0who came up with quick ideas on the fly<\/span>\u00a0and the unwavering support of our customers.\u00a0<\/span>\u00a0<\/span><\/p>\n

We ensured free participation for our customers and partners. Apart from that, anyone who wished to attend\u00a0<\/span>could register for the event by paying a fee. We hoped to attract the enterprise tech junkies from around the world<\/span>\u00a0and create networking opportunities for all the participants.<\/span>\u00a0We are very happy to announce that the turnout was better than expected. And what active participation it was!\u00a0<\/span>We couldn\u2019t have been more pleased with\u00a0<\/span>anything else than\u00a0<\/span>the customer engagement<\/span>,<\/span>\u00a0which exceeded our wild<\/span>est expectations.\u00a0<\/span>The live sessions<\/span>, discussions, games and other interactive events\u00a0<\/span>were made fun solely because of the attendees.\u00a0<\/span>\u00a0<\/span><\/p>\n

The breakout sessions were a hit<\/span>\u00a0with a mix of short and long talks<\/span>\u00a0<\/span>and dealt with\u00a0<\/span>some\u00a0<\/span>important and trending topics<\/span>,<\/span>\u00a0<\/span>including Z<\/span>ero trust cybersecurity<\/span>, best practices and tips for endpoint security,\u00a0<\/span>and leading trends of enterprise operations. Our team w<\/span>as<\/span>\u00a0able to organize<\/span>\u00a0these sessions successfully owing to the support and help of all the speakers.<\/span>\u00a0The dedicated team was able to provide live tech support and\u00a0<\/span>assist whoever needed\u00a0guidance to setup.<\/span> The team tried to ensure that none left the event with an unpleasant experience. Every single attendee who voiced their difficulties were called or emailed to ensure that their\u00a0<\/span><\/span>HexCon<\/span><\/span>\u00a0experience could resume smoothly.<\/span><\/span>\u00a0<\/span><\/span>\u00a0<\/span>

To spice it up, the team organized fun games like Among Us<\/span>,\u00a0<\/span>Pictionary<\/span>, Scavenger Hunt, word puzzle, and virtual trivia<\/span>.\u00a0<\/span>We know that networking is the prime driver of customer satisfaction.\u00a0<\/span>There was a huge hit with our customers who shared\u00a0<\/span>selfies of how they showed up for the conference\u00a0<\/span>in social medias\u00a0<\/span>as a part of the Selfie@ hexCon20 contest and help build\u00a0<\/span>excitement about the conference.\u00a0<\/span><\/p>\n
